Privacy Policy

This policy explains how REDLINE MANAGEMENT LTD (the "Controller"), operator of FWMOS (fwmos.com), processes personal data under the EU GDPR (2016/679) and the UK GDPR.

Last updated: 2026-07-26

1. Data controller

REDLINE MANAGEMENT LTD (company number 15938927, registered in England & Wales; VAT GB475397543), registered address: 35 Goldfinch Drive, Sandy, SG19 2SA, United Kingdom. Website: https://fwmos.com. Privacy contact: privacy@unit45host.com (response within 30 days).

2. What data we process

Account data: name and email from your sign-in provider, and a profile image where provided.

Usage data: the inputs you provide to the service, the outputs it generates or stores for you, usage counts and timestamps.

Payment data: payments are processed by Stripe; we do NOT store card data. Billing details you provide (name, address, tax number) are forwarded to Stripe.

Technical & abuse-prevention data: IP address, approximate location, device/browser data, and fraud/abuse signals (e.g. proxy/VPS use) — for the security of the service.

Marketing consent: your newsletter/coupon opt-in status.

4. Processors

Processors used across the ecosystem: Stripe (payments/invoicing), Hetzner (hosting, EU), Cloudflare (CDN/security), bluefox.email (transactional email). Product-specific processors, if any, are listed in the product addendum at the end of this document. All processors act under their own privacy terms.

5. Retention

Account and usage data are kept while your account exists or as required by law (e.g. invoicing). On account deletion, data is deleted except where retention is legally required.

6. Your rights

Access, rectification, erasure, restriction, portability, objection, and withdrawal of consent. Send requests to privacy@unit45host.com — response within 30 days. You may also lodge a complaint with a supervisory authority (UK: ICO; in the EU, your local authority).

7. Cookies

Cookie use is described in the separate Cookie Policy.

Product addendum — controller and processor roles (FWMOS)

FWMOS is a multi-tenant B2B platform. For the account data of the person who signs up (name, email, role, sign-in events) we act as controller.

For the operational data a customer puts into their own tenant — properties, clients, jobs, workers, photos, location events, timesheets — the customer company is the controller and we act as processor on their documented instructions. If you are a field worker or a client of one of our customers, please direct your data protection requests to that company first; we will support them in answering you.

Product addendum — additional data categories (FWMOS)

Location data: GPS coordinates recorded at job check-in and check-out. This is strictly opt-in — without an explicit consent action in the mobile app the coordinates are discarded and only the fact and time of the check-in are stored. Purpose: proving that the work was performed at the agreed site (legal basis: the controller's legitimate interest in verifying performance, with the worker's consent for the location itself).

Photographs: before / during / after images of the work site uploaded by field workers. Photo storage is append-only — images are not deleted or altered once uploaded, so that they remain admissible evidence in a service dispute. Deletion happens only through tenant-level erasure.

Workforce data: job assignments, timesheets, wage rates and quality ratings processed on behalf of the employer for operations and payroll preparation.

Audit log: an append-only record of sensitive operations (who changed what, and when). It is retained for the life of the tenant and is not editable — including by us.

Product addendum — sub-processors (FWMOS)

Hosting and database: Hetzner Online GmbH — servers located in the European Union.

Transactional email (invitations, notifications, password reset): BlueFox Email.

No advertising, profiling or third-party analytics is performed on the data in the application, and the data is not sold or shared for marketing purposes.

Product addendum — retention and export (FWMOS)

Tenant data is retained for the duration of the subscription and for 30 days after termination, so that the customer can export it; after that it is deleted, subject to any longer retention required by accounting law for invoicing data.

A customer can export their jobs, properties and reports to Excel or PDF at any time during the subscription.
